Help us serve you better and keep your translation costs to a minimum
Do you want to get the most out of our services and avoid additional fees? Consider the suggestions below and, at the same time, help reduce translation costs for the Government of Canada.

Plan your translations to avoid the rush premium
Rush premium
A 35% rush premium applies when the request deadline is less than 24 hours or when service delivery requires work outside of regular office hours, weekends or statutory holidays.
- Build sufficient time for translation into your production schedule.
- Advise us in advance if you expect to have a rush job.
- Clearly mark the sections that we should translate.
- If you need us to work on lengthy projects, consider submitting them in sections.
- Identify large multistage projects (e.g., communications campaigns and training manuals) and contact the Contact Centre to establish a work schedule.
Send documents in formats that do not require extra processing to avoid additional fees
Additional fees
Fees for special administrative services may be applied to documents that require extra processing.
- Documents that do not require extra processing include Word (.docx or .doc), WordPerfect (.wpd) and PowerPoint (.pptx or .ppt).
- Don't send documents in PDF format
- The content of these documents cannot be edited and, consequently, require extra processing (e.g., file conversion or the content must be captured and adapted in another editable format).
- Extra processing can delay delivery.
Use the minimum billing period to your advantage
- A minimum of 60 minutes is invoiced for each service request.
- Bundle several short texts in one request to make the most of our one-hour minimum billing period.
Ask for a summary
- Ask us to do a summary instead of a complete translation (especially for translations into foreign languages).
Ask for our services online
Use the electronic form—it's easy and fast.
- Use the same user name and password for future requests and consult your previous requests.
- Download your Translation Bureau invoices from the electronic form. Please call our Contact Centre at the toll-free number, 1-855-997-3300 (Canada and United States), or 819-997-3300 (press 2 and then 0). An agent will explain how to access your invoices.
- Clearly indicate your expectations in the Special Instructions section of the form.
Tell us who your target audience is
- Letting us know who your target audience is helps us adopt the appropriate style and level of language.
Send us your terminology and reference material
- Help us get your terminology right and keep it consistent by sending us reference material:
- earlier versions of the document (in both languages);
- any documents the writer used;
- previously translated documents on the same subject;
- contact information for a resource person (preferably the author).
